Orders

See and manage orders placed across your club.


The Orders page brings every purchase your club takes — shop sales, event tickets and registration payments — together in one searchable list, so you don't have to check three places to see what's been bought and what still needs your attention. You'll find it under User management → Orders in the admin sidebar.

Who can use this

Orders is visible to club administrators and to moderators who have the right permission:

  • Administrators see everything — shop, tickets and registrations.
  • Moderators with the View orders (shop.view_orders) permission see shop orders.
  • Moderators with the Manage billing (billing.manage) permission see ticket and registration orders.

If a moderator opens the page without either permission, they'll see a friendly notice asking them to request access — not an error. You can grant these permissions on the Roles & positions page.

What's on the page

At the top, four summary tiles give you a quick read on the situation:

  • Needs fulfilment — shop orders that have been received or are being processed but not yet sent.
  • Awaiting payment — checkouts that weren't completed.
  • Refunded — orders with money refunded.
  • Collected — net money received, after refunds.

Below that, the All orders card lists every order, newest first (up to 250 of each type).

Step by step

Find a specific order

  1. Type a name, email or item into the Search buyer or item… box.
  2. The list filters as you type and shows a live count of matching orders.

Filter by type or status

  1. Use the All types dropdown to show only Shop, Tickets or Registrations.
  2. Use the All statuses dropdown to narrow to a single status, such as Received or Awaiting payment.
  3. Combine the two dropdowns with the search box to drill right down to what you need.

Open an order to manage it

  1. Find the order in the list.
  2. Select the Manage link on the right-hand side.
  3. You'll be taken to the right place for that order — the Shop order, the event's guest list, or the Registrations order — where you can take action.

Some ticket orders without a linked event show a dash instead of a Manage link.

Field reference

ColumnWhat it shows
WhenDate and time the order was placed.
TypeWhether it's a Shop, Ticket or Registration order.
BuyerThe buyer's name and email (the guardian's details for registrations).
Item / contextThe product context — "Shop", the event title, or the registration form's name.
TotalOrder total, with any refunded amount noted in red underneath.
StatusThe current state. Shop orders use Cart → Awaiting payment → Received → Processing → Sent; tickets and registrations show their own status such as Paid, Free, Refunded or Failed.

Tips & FAQ

  • The Orders badge in the sidebar counts shop orders that have been received or are processing but not yet sent — your fulfilment to-do list. Clear it by marking those orders as sent in the Shop.
  • Collected shows an order count instead of a dollar figure? That happens when your orders span more than one currency, so a single total can't be shown.
  • Want the full money picture? This page focuses on orders; for payouts and member fees see Member payments. For event and registration income, see Registrations.
  • This is a read-only overview — to actually fulfil, refund or edit an order, use the Manage link to open it in its home section.
