Broadcasts

Send targeted email broadcasts to segments of your members.


Broadcasts is your in-house email engine for reaching members directly — compose a message, choose who gets it, and send it now or schedule it for later. You'll find it under Broadcasts in the admin sidebar.

Who can use this

Anyone with the admin role can send broadcasts. You can also let a moderator or other helper send by granting them the broadcasts.send permission (set up under Roles & positions).

Your plan also matters. On the free tier the page shows that broadcasts aren't included, with an Upgrade plan link to Subscription & billing. Standard plans and above can send, up to a monthly email allowance.

What's on the page

The hub opens with two cards at the top:

  • Monthly email allowance — how many emails you have left this month, with a meter. This pool is shared with all club email (broadcasts plus transactional), and resets on your renewal date.
  • Setup status — a quick checklist: plan, email delivery, sending domain, member consent, and reusable branding.

Below that you'll see your Drafts (if any), the Member email broadcasts history list, and quick links to the Consent list and Email branding pages.

Step by step

Send a broadcast

  1. Click New broadcast.
  2. Optionally pick a template to start from, or build a message from a newsletter, event, or news post you've already published.
  3. Under Audience, choose who receives it (see the field reference). Leave the role boxes unchecked to reach everyone with a membership. A live count tells you how many recipients match.
  4. Write a Subject and Body. You can use {{member_name}} and {{tenant_name}} — they're filled in per recipient. The live Full email preview shows your saved intro, sign-off, and footer wrapped around the body.
  5. Under Delivery, choose Now or At a scheduled time.
  6. Click Send broadcast (or Schedule broadcast) and confirm. Once sent or scheduled, a broadcast can't be edited or sent again.

Save a draft or test it first

  • Click Save as draft to come back later. Drafts appear at the top of the hub; use Edit or Delete there.
  • Click Send test to me to email a copy to your own address before the real send.

Manage sent broadcasts

  • Resend failed appears when some recipients didn't receive the email.
  • Cancel appears while a broadcast is scheduled or sending.
  • Click Email branding to save a reusable intro, sign-off, and footer. Leave a field blank to omit it.
  • Click Consent list to see opted-in members, page through them, or Export CSV.

Field reference

Tips & FAQ

  • An unsubscribe link is always added to the footer automatically — it's required by law and can't be removed. Members who unsubscribe drop off your consent list straight away.
  • Verify your own sending domain for better deliverability and branding. Without it, emails come from the ClubHelix platform address, which still works fine. Set this up under Email.
  • Scheduled recipients are locked in when you schedule — members who join afterwards won't be included.
  • New members can opt in to club emails at registration or from their own account page. To reach members who haven't opted in, send a re-consent campaign first.
