How the program works

    Council nominates the clubs

    You pick up to 5 local clubs — or run a short expression-of-interest round with the one-page form we supply. Clubs with no working website, a brand-new committee, or a site they're about to lose are the usual priorities.

    We build, club by club

    Each club gets a full Launch-level build: a site branded to the club, its content migrated, members and online registration set up, and a custom domain connected — about two clubs a month, with the whole program finished inside a school term.

    Committees take the keys

    Every club gets a 30-minute handover call and access to the built-in help centre, so the committee — not the council — runs the site day to day. No technical knowledge needed.

    You get the receipts

    Live websites, before-and-after screenshots for council publication, and a "Delivered with the support of your council" credit on every site for 12 months.

The build — Launch-equivalent, done for the club

Every club in the program gets the same scope as our Launch package ($1,947 on its own, including its bundled year) — not a cut-down version.

A school term, start to finish

  • Weeks 3–10Builds delivered club by club — roughly two clubs a month, each reviewed by its committee before going live, each announced as it launches.

  • Month 9Year-two conversation begins — with the season's real site traffic in front of everyone, well before anything falls due.

Year two is agreed before year one starts

No council wants to discover a renewal cliff in month eleven, so the program names the year-two options up front and you choose at signing:

  • The council renews the program year at a published, smaller renewal price;
  • Clubs take over their own subscriptions at the normal rate — each club acknowledges this default at onboarding; or
  • Local sponsors step in — a live site with a year of real traffic is an easy sponsorship product, and we help each club make that ask at month nine.

Whichever way it goes, each club keeps its site, domain, member data and payment account — nothing about a funding decision can take a club's website away.

Frequently asked questions

Is each build really the same as the Launch package?
Yes — every club in the program gets the Launch scope from our done-for-you page: a branded template, up to 5 core pages built and populated, content migrated, members and registration set up, and a custom domain connected. Bought individually, the Launch package (build plus its bundled Standard year) is $1,947 per club — $9,735 for five — while the program's starting figure of $7,788 covers the whole batch, with each club's included Standard year stretching to 500 active members rather than the individual package's entry band.
Does every club really get the Standard plan?
Yes. The program price includes a full first year on the ClubHelix Standard plan for every participating club — the same paid plan on our public pricing page, with online payments, events, email and search-engine indexing. It's not a cut-down or trial tier, and there is no separate hosting bill in year one.
Can we run the program with fewer than five clubs?
The published figure covers up to 5 clubs — and that's where the value is strongest, because the program charges for 4 builds and the fifth club is included. If your council wants to start smaller, ask for the proposal and we'll quote a smaller program; you can add clubs later as a second round.
What if one of our clubs has more than 500 active members?
Nothing changes about the build — the included Standard year covers clubs up to 500 active members (the largest Standard plan band), and a bigger club is simply quoted at its size in the proposal so the program figure stays exact before you commit.
Who owns each website?
The club does — its site, its custom domain, its member data and its payment account, from day one. The council funds the program; it never holds the clubs’ data or money, and nothing about a funding decision can take a club’s website away.
What does the council pay after year one?
Only what you choose to. The year-two options are agreed at signing: renew the program year at a published smaller price, let clubs take over their own subscriptions at the normal rate, or let local sponsors step in — we help each club make that ask at month nine.
Is the program only for sports clubs?
No — any volunteer-run community organisation fits: sports clubs, service clubs, performing arts groups, men’s sheds, community halls. If it has members, events and a committee, the program works.
What do the clubs have to do?
About an hour each: a short kickoff (branding, content, who the committee contacts are), then a review of the built site before it goes live. We do the rest — the program is designed for committees with no spare volunteers.
