Structure
Your whole organisation, modelled as it really is
A federation or national body at the top, state and regional bodies underneath, sub-regions and clubs below them — five organisation tiers, nested as deep as your sport needs. Any level can stand alone, and every organisation in the tree gets the full platform:
- Its own public site, theme and navigation
- Its own member roster, admin and payment account
- Its own custom domain — clubs keep their web address
Club autonomy
Affiliation never means surrender
A parent body gets no operational control over an affiliate’s site or data — roles never leak up or down the tree, and a region can set standards without running a club’s admin. What a governing body gets instead is purpose-built federation management: shared standards, network-wide publishing and rolled-up reporting, each designed so clubs stay in charge of their own house.
Affiliation
New clubs join with one application
Growing the network is self-serve: a club applies to affiliate, the application lands in your admin, and approving it creates the club’s organisation on the spot — the applicant becomes its first admin and the site is running the same day.

Standard positions
Define the committee structure once
Mark a position — Secretary, Child Safety Officer, Grade Secretary — as standard for child organisations, and every affiliate sees it in their own Roles admin, ready to appoint their own people to. The definition stays read-only at the affiliate: its name, place in the hierarchy and the permissions it carries remain under the governing body’s control.
Network publishing
Publish once, reach every club’s site
News and events can be scoped to your organisation only, or to every affiliate below you — a state championship announced at the federation appears on every club’s site, badged with its source, and flows into members’ calendar feeds.
Venues are shared the same way: the region maintains the canonical grounds list, complete with maps and directions, and every club picks from it when scheduling.
HQ reporting
Numbers for head office, privacy for clubs
HQ roll-up reporting gives the governing body total, active and financial member counts for every organisation in the network, twelve months of revenue per affiliate, a trend chart and CSV export — aggregates only, never an individual member record or payment.
And when head office needs the whole network’s attention, a parent broadcast lands with every affiliate’s administrators as an email and in-app notification.
Competitions
You host, clubs nominate
Competitions were built for exactly this shape of multi club management: the governing body hosts, and clubs enter themselves through published nomination windows — open and close dates, an optional entry fee paid straight to the association, and a cap on teams per club.
Accepted teams flow into divisions, and fixtures, ladders, finals series and the live match centre run from there, with match officials rostered from the same admin.
Clubs register
Manage clubs that aren’t on ClubHelix yet
The clubs register lets an association record every member club — colours, contacts, logo — under its own organisation, attribute teams to the clubs that field them, and link a club to its own ClubHelix organisation if and when it joins the platform. Club membership requests are approved by the association, so only a club’s own members can nominate its teams.
Directory
Every club, findable from one search
The public directory ties the structure together: every affiliated organisation, searchable by name, category and tier, each entry in the organisation’s own colours — so players land on their club’s site, not a generic listing.
