A membership snapshot at any date, growth month by month, lapsed and at-risk members, retention by joining cohort, and the renewal funnel from reminder to payment. This is the membership reporting software layer your registrar has been doing by hand: it counts what the roster actually says, on the day you ask.

Because the questions funding bodies ask are not the questions a committee asks, the club census figures — headcount by type, by team, by suburb, by season — sit alongside the day-to-day ones, ready to export into a participation return.

Income by source, monthly and quarterly revenue, outstanding fees with a debtors ageing, refunds, processing fees, and a transaction register that reconciles against the bank. Quarters follow the Australian financial year, because that is the year your treasurer reports on — not the calendar one.

Every money report is cash basis and dated by when the payment arrived, never when the invoice was raised, and net always means gross less refunds. Exports come out as CSV shaped for accounting imports — column row first, currency as decimal dollars — so nothing has to be reformatted by hand before it goes near the books.

Working-with-children checks and coaching accreditations by expiry date, waiver coverage, open incidents by age, volunteer coverage across the roster, and who has and has not completed what. When an insurer, an association or a parent asks, the answer is a report with a date on it rather than a search through somebody’s inbox.

Reporting has its own five-way permission split — view, finance, people, compliance and manage — so a treasurer can be handed every money report without ever seeing member medical notes, and a safeguarding officer can see the compliance registers without seeing the bank figures.

A region, association or federation gets roll-up reports across every affiliated club — participation, compliance coverage, affiliation status and activity — computed as aggregates in the database and returned as totals. Head office sees the numbers it is entitled to; clubs keep their member records to themselves.

That line is enforced where it cannot be argued with — in SQL, on the parent-admin check, not in a screen that could be bypassed.

Save any report with its filters and timeframe as a saved view — the period is stored as "last quarter", not as two fixed dates, so it stays right next quarter too. Group them into report packs (committee, treasurer, board, end-of-season, membership officer) and schedule the pack to land in the right inboxes on the first of the month as CSV or PDF.

A pack is the antidote to the meeting where three people bring three different numbers: the same reports, in the same order, every time — so this month can be compared with last month without anyone rebuilding a spreadsheet. Scheduled delivery is available on the Pro plan and above.
