Frequently asked questions

How does member-based pricing work?

Each paid plan comes in member bands (for example up to 100, 250 or 500 active members). You pay the band that fits your club today. When your active member count outgrows the band, we warn you well before anything changes — your price is never increased without you confirming the move to the next band.

Which currency will I be charged in?

Prices are set by location — yours and your club's — and can't be switched manually. We're currently showing US Dollar (USD) pricing for United States. If your club is based somewhere with higher pricing than where you're browsing from, the club's location applies at checkout. Once you start a subscription, its currency is fixed for the life of the subscription.

What happens if a recurring payment fails?

We'll email your billing contact and lock admin write features while we retry. Your public site stays online for the suspension cutoff (30–60 days depending on tier). Settle the outstanding invoice in the billing portal and everything resumes automatically.

Can I switch plans or bands?

Yes — upgrade, downgrade or change member band anytime from the admin billing page. On 28-day billing the new price kicks in on your next renewal date and we don't charge you immediately. On a yearly plan, moving up is charged pro-rata for the days left in your year (you see the exact amount first), and anything that reduces your price takes effect at your next renewal — you keep what you've paid for until then.

How long is a billing cycle?

A 28-day cycle, not a calendar month, so your renewal date stays on the same day of the week every four weeks. If you'd rather pay once a year, the yearly plan covers a full twelve months.

Do you offer yearly billing?

Yes — and it's 7.7% cheaper than paying every 28 days for the same plan and member band. It's charged in full up front, covers twelve months, and renews yearly unless you cancel before the renewal date. You can start on either, and switch to yearly whenever you like: we credit the unused days of your current cycle. Switching back to 28-day billing takes effect when your paid year runs out, so you're never billed twice for the same period.

What happens on a yearly plan if my club grows past its member band?

We never raise your price because your club grew — on any plan. You'll get a heads-up as you approach your band's limit, and if you pass it, new member approvals pause and you choose what to do. Move up to the band that fits and you'll see the exact pro-rata amount for the days remaining in your year before you agree to anything, with your renewal date unchanged. Or stay on the band you paid for at no cost, and your plan moves up at renewal instead.

What does it cost to take payments online?

Online payments — memberships, registrations, tickets, shop sales — go straight into your club's own bank account through Stripe or Square; ClubHelix never holds your money. ClubHelix's platform fee on Standard is 1% (event tickets 2.5%, fundraising 3.5%); on Pro it's 0.5% (event tickets 1.5%, fundraising 2.5%); Enterprise pays no ClubHelix fee. There's never a fixed per-transaction amount on top. The fee is deducted from the club's settlement — never added on top for the paying member — and it's returned to the club whenever a payment is refunded. The payment provider's own card processing fee applies separately at their published rates.

Will my site show up on Google?

Sites on the Free plan are excluded from search engines — every page is served with a noindex tag and we leave them out of our public sitemap. Standard, Pro, and Enterprise plans are indexed by default; you can still mark individual pages as noindex from the page settings.
