Tasks

The committee task board — kanban or list, assignees, due dates and email reminders.


The Tasks page is your committee's shared to-do list — a simple board for everything that isn't tied to a meeting: order the trophies, chase the council about lights, renew the insurance. Drag cards across To do → In progress → Done, or work from a due-date-sorted list. You'll find it under Club operations → Tasks.

Who can use this

Tasks is a Pro plan feature and shares the governance module toggle. Managing the board needs the Manage meetings & documents permission — club administrators have it automatically; grant it to a Secretary position on Members & access → Roles & positions. Assignees don't need any admin access: whoever a task is assigned to sees it in the My tasks card on their account page and can start it or mark it done from there.

What's on the page

  • Board view: three columns — To do, In progress, Done — with drag-and-drop cards.
  • List view: every task in one table, sorted by due date, with a status dropdown.
  • New task form: title, assignee, due date and notes.
  • Edit panel: click any card (or Edit in the list) to change details or reassign.

Step by step

Add a task

  1. Fill in the title (that's all that's required), and optionally notes and a due date.
  2. Pick an assignee: a position (the task follows whoever holds the role — ideal across an AGM handover) or a specific person.
  3. The assignee gets a notification that stays in their bell until the task is done and links straight to the task on their account page.

Work the board

  1. Drag cards between columns as work starts and finishes — or switch to List view and use the status dropdown.
  2. Dropping a card into Done stamps who completed it and when, and clears the assignee's reminder notification automatically.
  3. Reassigning a task moves the sticky notification to the new assignee.

Let the reminders do the chasing

  1. Give tasks due dates. Assignees are emailed when a task is coming due (within 3 days) and again once it's overdue.
  2. Reminders arrive as one digest per club per day at most — action items from meeting minutes are included in the same email.

Field reference

  • Title — what needs doing, up to 200 characters.
  • Assignee — a council position (auto-handover) or a member with an account; tasks can also stay unassigned.
  • Status — To do, In progress or Done. Done tasks stay on the board's Done column for reference and can be dragged back if they reopen.
  • Due date — optional; drives the due-soon and overdue email reminders. Moving the date re-arms the reminders.
  • Notes — free text up to 4,000 characters (links, sizes, phone numbers).

Tips & FAQ

  • Tasks vs action items? Action items live on the Governance page and belong to a meeting's minutes — they're part of the corporate record. Tasks are the everyday tracker. Assignees see both together in My tasks on their account page, and both share the same reminder digest.
  • Why can't my assignee dismiss the notification? By design — the assignment notification is pinned until the task is marked done, so nothing gets cleared away and forgotten. Completing the task clears it instantly.
  • Assign to positions where you can. "Treasurer" survives committee changeover; a named person doesn't. When the roles change on Roles & positions, open tasks follow the new holder automatically.
