Sponsorships
Sponsorship packages, agreements, delivery checklists and renewal reminders.
The Sponsorships page is the commercial side of your sponsors: the packages you sell, the agreements you've signed, what each sponsor has been promised (and whether it's been delivered), the money received, and reminders before renewals fall due. The public logo strip on your website stays on Website management → Sponsors — this page is the private CRM behind it. You'll find it under Business management → Sponsorships.
Who can use this
Sponsorships are a Pro plan feature. Club administrators and moderators manage packages, agreements and payments. Nothing on this page is ever shown publicly — contact details and notes are internal.
What's on the page
- Stat tiles: active agreements, their combined value, and how many end within 60 days.
- An agreements list — each deal's sponsor, package, value, period and state (Active, Ends soon, Expired, Cancelled).
- A New agreement form, and a Sponsorship packages card where you define your sellable inventory.
- Each agreement's own page: the delivery checklist, payments received, commercial details, and the sponsor's contact card.
Step by step
Define your packages
- In the Sponsorship packages card, add a package — for example Gold sponsor, asking price, and the included assets one per line (shirt front logo, ground sign, website slot, social posts…).
- Packages are your menu when pitching; when a deal lands, the package's asset list becomes the agreement's delivery checklist automatically.
Record an agreement
- Add the sponsor on Website management → Sponsors first if they're new (that's also what puts their logo on your site).
- On Sponsorships, fill in the New agreement form: sponsor, package (optional), value, and the period it covers.
- Open the agreement to tick off deliverables as they happen, record payments, and keep contact details and internal notes.
Record a payment
- On the agreement page, enter the amount and method (bank transfer, cash, cheque) and select Record payment.
- The payment is recorded against the agreement (sponsorship money keeps its own ledger — it never mixes into member payments), and the received/outstanding figures update.
- Tick Email a receipt to send the sponsor's contact a receipt automatically.
Stay ahead of renewals
- Admins get an in-app notification 30 days and again 7 days before an active agreement ends (switchable per agreement).
- When an agreement expires, its row flags it — extend the end date after a renewal conversation and the reminders re-arm for the new date.
Field reference
| Field | What it does |
|---|---|
| Package | Optional link to your inventory; its name is snapshotted so history survives edits. |
| Value | The agreement's full commercial value for the period. |
| Starts / Ends | The sponsorship period. "Expired" is derived from the end date — nothing to sweep. |
| Delivery checklist | What was promised. Tick items off as delivered; add ad-hoc items any time. |
| Payments | Money received against the agreement, recorded manually with method and note. |
| Renewal reminders | The 30-day and 7-day nudges to admins before the end date. |
| Sponsor contact | Who to talk to at the sponsor, plus internal notes. Never rendered publicly. |
Tips & FAQ
- Where do sponsors' logos live? On Website management → Sponsors — that page controls the public display (tiers, ordering, expiry). Sponsorships is the money-and-promises layer on top of the same sponsor records.
- Can sponsors pay online? Not yet — record payments manually (most clubs invoice sponsors by bank transfer). The receipt email gives them clean paperwork.
- What happens when I cancel an agreement? It keeps its history (checklist, payments) but stops counting as active and stops sending renewal reminders. You can reactivate it later.
- Multi-year deals? Set the period to the full term, or record one agreement per season so each renewal gets its own reminder cycle — whichever matches how the deal is written.
- Why can't I pick a sponsor? Agreements attach to a sponsor record — add the organisation on the Sponsors page first.
