Check-in
Track attendance at training, facilities and meetings — by staff, QR or kiosk.
The Check-in page lets your club take attendance at anything — training sessions, facility access, committee meetings — not just ticketed events. You'll find it in the admin sidebar under User management → Check-in.
You create an activity for each thing you take attendance at, then check members in three ways: from a staff list, by scanning a member's digital membership card QR with your phone, or with a self-service kiosk — an unattended screen at the door where members scan themselves in. Every check-in lands on the member's attendance history, with an optional note.
Who can use this
Check-in is a Pro plan feature — on the Free or Standard plan the page shows an upgrade notice and activities can't be created or configured.
Anyone with the Manage members permission: Admins always, plus Moderators or council positions that have been granted it. The kiosk screen itself needs no sign-in — the kiosk link is the key (see the tips below). Members can see their own recent attendance on their My membership account page, but never anyone else's.
What's on the page
The main page lists your activities with their kind, today's check-in count, all-time total, and whether the kiosk is on. Open an activity to get:
- Check members in — a searchable list of your active members with Check in / Check out / Undo buttons. Unfinancial members are badged.
- Attendance — everyone checked in on a chosen day (default today), with time in and out, how they were checked in (Staff, QR scan or Kiosk) and any note. Use the date picker to look back at earlier days.
- Kiosk mode — turn the self-service kiosk on or off, copy its link, regenerate it, or print an A4 poster with a check-in QR code for the club room wall. Regenerating and disabling both ask you to confirm first, because they cut off the current link (and any printed poster) instantly.
- Activity details — edit the name, kind, description and the financial-members-only rule.
Step by step
Create an activity
- Open User management → Check-in and click New activity.
- Give it a name (say, "Tuesday night training"), pick a kind, and optionally add a description for your admin team.
- Tick Financial members only if unpaid or lapsed members should be refused. Staff can still override; the kiosk never can.
- Click Create activity — you land on its page ready to check people in.
Check members in as staff
- On the activity page, search for the member in Check members in.
- Click Check in (use Add note first if you want a note saved with it).
- Use Check out to record a leaving time, or Undo to remove a mistaken check-in entirely.
Check in by scanning a membership card
- A member shows you their digital membership card (from My membership on their account).
- Scan the card's QR code with your phone while signed in. The verification page opens showing their live status.
- Because you can manage members, the page also shows a Staff — check in to… panel: pick the activity and tap Check in. Done.
Run a kiosk
- On the activity page, click Enable kiosk in the Kiosk mode card.
- Copy the kiosk link and open it on the door device — a tablet or laptop, signed out is fine. Attach a USB QR scanner, or use a scanner app that types what it scans.
- Members scan their own card QR; the screen greets them by first name and resets after a few seconds. Scanning twice within two minutes is politely refused, and the kiosk never lists or searches your members.
- No card handy? The kiosk screen also shows its own QR code — a member scans it with their phone, signs in if they aren't already, and taps one big Check in button. The same rules apply: active members only, the financial-members rule can't be overridden, and duplicate check-ins within two minutes are refused.
- Prefer paper? Click Print A4 poster to open a print-ready page with the same phone check-in QR, the activity name and simple scan-sign-in-tap instructions. Print it (or choose "Save as PDF" in the print dialog) and hang it in the club room — members scan it with their phone exactly as they would the QR on the kiosk screen.
- When the session ends, click Disable kiosk (or Regenerate link if you'll run it again later and want a fresh link). Both actions ask you to confirm, then cut off the old link — and any printed poster — instantly.

Tips & FAQ
- Treat the kiosk link like a key. It works without a sign-in, so anyone who has it can run the kiosk for that activity. Only share it with people running the door, and regenerate it after an event or if it leaks — the old link stops working instantly. Archiving an activity also disables its kiosk.
- Printed posters embed the same key. The A4 poster's QR carries the current kiosk link, so regenerating or disabling the kiosk makes old posters stop scanning — take them down and print fresh ones after a regenerate.
- The kiosk deliberately has no member search. A public screen must never expose your roster; it only responds to a scanned card.
- Where do members see their attendance? On their My membership page under "Recent attendance" — their own check-ins only.
- Archiving keeps the history. Archived activities stop accepting check-ins (and lose their kiosk link) but their attendance records stay on member timelines. Restore the activity to use it again.
