Volunteering
Duty rosters for canteen, BBQ and match-day jobs — member sign-up, reminders and season totals.
The Volunteering page runs your duty roster — canteen, BBQ, ground marshal, scoring, working bees — with self-service member sign-up, automatic reminders and a season summary you can publish at presentation night. You'll find it under Club operations → Volunteering; members sign up on your public site at /volunteer.
Who can use this
Volunteering is a Standard plan feature. Club administrators and moderators manage duty types, slots and assignments. Any signed-in club member can view the roster and put their hand up on the public volunteer page.
What's on the page
- Stat tiles: upcoming slots, how full the roster is, and duties completed over the last 12 months.
- Duty types: your catalogue of jobs (Canteen, BBQ, Ground marshal, …).
- Roster: upcoming slots with their sign-ups, an assign control, and a slot creation form.
- Season summary: volunteer hours per person, computed from completed duties.
Step by step
Build the roster
- Add your duty types once (name and a short description of what the job involves).
- Create slots: pick the duty, the start and end time, where to report, and how many people you need. Optionally link the slot to a fixture or an event so it appears in context.
- Leave Open for sign-up ticked so members can claim the spot themselves; untick it for jobs you'd rather hand-pick.
Fill the gaps
- Members join from the public /volunteer page — spots are capacity-checked, so a full slot can't be over-subscribed even if two people tap at once.
- For anything still empty close to the day, use the assign control to roster a member directly — they're notified straight away, and everyone signed up gets a reminder the day before.
After the day
- Open the slot and mark each person Completed or No-show. That feeds the season summary and keeps next season's rostering honest.
Field reference
- Capacity — how many people the slot needs (1–200). You can't shrink it below the current sign-ups; remove people first.
- Open for sign-up — whether members can self-serve the spot. Admin assignment works either way.
- Status — signed up → completed / no-show, set by staff after the shift.
Tips & FAQ
- Can members un-volunteer? Yes — up until the slot starts, from the same public page. After that, only staff can change the roster.
- Do reminders cost anything? No — they ride the standard notification channels (in-app, email, and push where enabled).
- Publishing volunteer hours: the season summary totals hours from completed duties per person — clubs love reading these out. No-shows are only ever visible to staff.
