Compliance reports

Compliance reports are the ones that keep the club covered: who is currently accredited, what incidents have happened, who has signed what, and what is overdue.

Who can use this

All of them need View safety & compliance reports. This is deliberately separate from the member and money permissions — safeguarding information should sit behind its own gate, and holding it does not require being an organisation admin.

Every download of a compliance report is recorded in the audit log, including who ran it and how many rows it contained.

What's on the page

• Accreditation status — a traffic-light view of who holds a current WWCC, first aid or coaching ticket.
• Expiring accreditations — what lapses in the next 30, 60 and 90 days.
• Accreditation gaps by position — role-holders missing a credential their position requires.
• Incident register, Incident trends, Open incidents ageing, Safeguarding summary.
• Waiver coverage and Waiver acceptance register — who signed which version, and who is still on an old one.
• Terms & privacy consent, Meetings register, Action items, Motions register.
• Privacy requests and Audit trail.
• Two-factor adoption and Access review — which admins can still be phished, and which accounts are dormant.

Step by step

1. Open Reports and pick the Compliance, safety & governance chip.
2. Run Expiring accreditations at the start of each month and chase the 30-day band.
3. Run Accreditation gaps by position before each season starts.
4. Run Open incidents ageing before each committee meeting.

Field reference

Current — the credential has an expiry date in the future and has been verified.

Expiring soon — it expires within the window you chose.

Expired — the expiry date has passed.

Never supplied — no record exists for that person and credential type at all. Worth separating from "expired", because it usually means nobody has ever asked.

Waiver coverage — active members who have accepted the current version, as a share of all active members.

Tips & FAQ

Someone shows as expired but has renewed. The new expiry date has to be recorded against their credential. Renewals update the existing record rather than adding a second one.

Can a coach see the incident register? Only if they hold "View safety & compliance reports". A team-scoped position does not grant it.

Why is access to the people-involved report so tightly held? Incident reports involving people are the most sensitive records in the platform. Access is logged, and the report sits behind that one permission alone.
