Applications
Review and approve people applying to join your club.
The Applications page is where you review requests from other organisations that want to affiliate under yours and run their own ClubHelix site. You'll find it in the admin sidebar under User management → Applications.
This page is most relevant if your organisation is a parent or governing body (for example a region, association or federation) that smaller clubs sit beneath. If you run a single club, you'll usually see nothing here, which is perfectly normal.
Looking to approve a member who wants to join? That's handled on the Members page, not here. This page is only for organisations applying to affiliate under yours.
Who can use this
Approving or rejecting an organisation application is Admin only. A moderator may be able to open the page, but the Approve and Reject buttons will only work for an Admin of your organisation. Top-level applications (with no parent) are handled by platform superadmins and won't appear here.
What's on the page
The page is titled Organisation applications and shows a single Pending list with a count, for example Pending (2). Each row shows the applying organisation and the buttons to act on it. When there's nothing waiting, you'll see No pending applications.
Step by step
Review a pending application
- Open User management → Applications in the admin sidebar.
- Look at the Pending card. Each entry shows the proposed organisation name with its proposed web address (slug) in brackets, the requested tier, and who submitted it (their name or email). If the applicant added a description, it appears underneath.
Approve an application
- Find the application in the Pending list.
- Click Approve.
- ClubHelix creates the new organisation, makes the person who applied its first Admin, starts them on a 14-day Standard trial, and sends them a notification. The application then drops off the pending list.
Reject an application
- Find the application in the Pending list.
- Click Reject.
- The application is closed and the applicant is notified that it wasn't approved. Rejecting is a single click — there's no separate form to fill in.
Field reference

Tips & FAQ
- Approving is final and creates a live organisation. It immediately spins up a new tenant with its own site and admin, so only approve organisations you recognise.
- The web address (slug) must be unique. If a slug is already taken or reserved, the applicant is asked to pick another before the request reaches you.
- Nothing in the list? That's expected for most single clubs — this page only fills up when other organisations apply to affiliate under yours.
