Membership reports

The membership reports answer the questions a membership officer and a committee ask most: how many members do we have, are we growing, and who has quietly stopped paying.

Who can use this

These need View member & personal-data reports. Two of them — Dues status and Dues aging — show money and need View money reports instead, so a treasurer can see what is owed without seeing the full member record.

What's on the page

• Membership snapshot — total, active, paid up, lapsed and never-paid, as at a date, with a full member list.
• Lapsed & at-risk members — banded into lapsing within 30 days, lapsed under 90 days, and lapsed over 90 days. The most recoverable people are in the middle band.
• Dues status and Dues aging — who owes, and how overdue, bucketed 1–30, 31–60, 61–90 and 90+ days.
• Membership growth, New members, Joining seasonality — movement over time, and which months naturally bring people in.
• Members by type, Tenure distribution, Concession uptake, Life & honorary members.
• Contact data quality and Emergency contact completeness — the pre-season chase lists.
• Families & dependants and Guardian coverage — households, and any junior with no linked adult.
• Likely duplicate members — a review list to run before a bulk import.

Step by step

1. Open Reports and pick the Membership & people chip.
2. Open Membership snapshot for the headline position.
3. Switch the comparison to vs same period last year to see whether you are genuinely up.
4. Open Lapsed & at-risk members and work the middle band first.
5. Download the CSV if you want to work through it offline.

Field reference

Paid up — the member's paid-until date is on or after the snapshot date.

Lapsed — they had a paid-until date and it has passed.

Never paid — no paid-until date has ever been set. Counted separately, because a member who never started is a different problem from one who drifted away.

Active — the member's status is active, which is about approval, not payment. A member can be active and unpaid at the same time.

Estimated outstanding — unpaid members valued at their type's current list price. An indication for planning, not an invoice total.

Tenure — measured from the joining date. Members with no joining date are excluded from the bands and from the average, and the report says how many.

Tips & FAQ

Growth looks too good. It is gross growth. ClubHelix does not record a leaving date yet, so departures are not deducted. The report says so on its face rather than quietly overstating the position.

Someone appears in Likely duplicates who is not a duplicate. Shared family logins legitimately match on email. It is a review list — nothing is ever merged automatically.

Why is the age and gender report unavailable? ClubHelix does not collect member date of birth or gender yet. Until it does, the census and demographic reports say so rather than showing a misleading partial answer.
