Legal & policies
Publish your club’s own terms and privacy policy.
Use this page to publish your club's own Terms of Service and Privacy Policy for your members. Find it in the admin sidebar under System → Legal & policies.
Your club's documents are additive: they apply only to your members and sit on top of the platform-wide ClubHelix policies — they don't replace them. If you don't need your own version of a document, simply leave it empty.
Who can use this
You need the Settings: manage permission, so this page is open to administrators (who hold it automatically). Moderators and members without that permission won't see Legal & policies in the sidebar. The platform-wide ClubHelix policies are managed separately and can't be edited here.
What's on the page
The page shows two editor cards, one for each document:
- Terms of Service
- Privacy Policy
Each card header tells you the current state — either current v1 (with the effective date) or not published yet.
Step by step
Write or edit a document
- Find the card for the document you want to work on (Terms of Service or Privacy Policy).
- Type or paste your text into the editor box. It accepts Markdown, so you can use headings, lists and links.
- Select Preview at the top right of the card to see how it will read. Select Edit to switch back.
Publish a new version
- Make your changes in the editor box.
- Select Publish new version. This button stays disabled until your draft is different from what's already published, and it won't let you publish an empty document.
- The button shows Publishing… while it saves, then a green confirmation banner (for example, terms published) appears at the top of the page.
- Publishing bumps the version number (v1 becomes v2, and so on) and requires every member of your club to re-accept the document before they can continue using the site.
Once published, the document appears on your club's public pages at /legal/terms and /legal/privacy, alongside a link to the matching ClubHelix platform policy.

Tips & FAQ
- Do I have to publish anything? No. Members already accept the platform-wide ClubHelix policies. Add your own documents only if your club needs extra terms.
- What happens to members when I publish? They'll be prompted to re-accept the updated document the next time they continue on the site. Publish thoughtfully so you don't interrupt people unnecessarily.
- Why is the publish button greyed out? It only enables once you've made a change, and an empty document can't be published.
- Where do members read these? On your public site at
/legal/termsand/legal/privacy, each linking back to the corresponding ClubHelix policy. - Want to see who published or accepted what? Check the Activity log. Related: Settings and Members.
