Photo galleries

Share photo galleries from games and club events.


Photo galleries are where you collect match-day photos, training shots and event snaps into albums for your website. You'll find them under Photo galleries in the admin sidebar (in the Publish updates group). You create a gallery first, then upload photos to it in bulk on its edit page.

Who can use this

Galleries can be created, edited and deleted by admins and moderators. How many galleries you can create and how many photos each one holds depend on your plan — the allowance meter at the top of the page shows how much of your plan’s allowance you’ve used and links to Subscription & billing when you’re close to the cap.

Uploading is also paused if your billing is overdue: you'll see a message that the organisation is locked until outstanding invoices are paid. Editing a gallery's details still works; only the photo uploads are held.

What's on the page

The main list shows every gallery with its Title, Status, Visibility, Event date and when it was last Updated, with an Edit link on each row. The header tells you how many galleries you have and how many are included on your tier. The New gallery button sits at the top right — when you reach your tier's gallery limit it's replaced by an amber "Gallery limit reached for your tier — upgrade to add more" notice.

Two settings control who sees a gallery: status decides whether it's live at all, and visibility decides who can view it once it's published.

Step by step

New gallery opens a page with three short questions.

  1. Click New gallery (or Create gallery from the empty state).
  2. What are these photos of? — type a Gallery name. The Web address underneath fills itself in as you type, and tells you straight away if that address is already taken. You can edit it yourself at any point.
  3. Who can see it?Anyone, Members of your organisation, or Certain people only (which then asks which level of access is needed).
  4. Anything else? (optional) — folded away: the date the photos were taken, and a short description.
  5. Click Create gallery & add photos. The gallery is created as a draft and its page opens, ready for you to upload.

Upload photos

  1. Open a gallery and find the Photos card.
  2. Click Select photos… or drag image files onto the drop zone. You can add up to 60 photos at a time. PNG, JPEG, GIF, WebP and AVIF are accepted.
  3. Tick the box confirming you have the rights to publish the images and that anyone pictured has consented. This box must be ticked before the Upload button works.
  4. Click Upload. A progress bar tracks the batch, and each photo shows Queued, a percentage, ✓ Done or an error. Use Clear done to tidy the list once photos have uploaded.

Set a cover image

In the Photos grid, click Set as cover under a photo. The chosen one shows ★ Cover. This is the image used to represent the gallery in listings.

Click Remove under any photo to delete it. To remove the whole gallery, use Delete gallery at the top of the edit page.

Tips & FAQ

  • Originals are fine. Photos are auto-resized for the public site when they're displayed, so you can upload full-size files (up to 8 MB each on Free and Standard, 15 MB on Pro and Enterprise).
  • EXIF is stripped. Location, camera and other hidden metadata is removed from every upload before it's stored.
  • Alt text is automatic. Each photo's description is taken from its filename, so name files sensibly before uploading.
  • Who can see it? "Members of your organisation" needs members signed in — set them up under Members. Role-based access uses your Roles & positions.
  • Everything is logged. Creating, editing, uploading and deleting are all recorded in the Activity log.
