Waitlists
Queues for sold-out ticket types and full memberships, with automatic offers.
The Waitlists page shows everyone queued for something that's currently full — a sold-out event ticket type or a membership type at its member cap — and the offers that have gone out. Waitlists fill themselves: when a spot opens up (a capacity increase, a refund, a lapsed member), the oldest people in the queue are offered the spot automatically and notified by email. You'll find it under Revenue → Waitlists in the admin sidebar.
Who can use this
Waitlists are available on every plan. Club administrators and moderators see the queues and can remove entries. Members and guests join a waitlist themselves from the public event or join page — there's nothing to enter manually.
What's on the page
- A summary of how many people are waiting and how many hold a live offer.
- A Check for open spots now button that runs the offer sweep immediately (it also runs automatically every 15 minutes).
- An entries table: who's queued, what for, their status, and when they joined. Filter by status or by waitlist type, and remove entries that no longer belong.
Step by step
Turn a waitlist on
- Event tickets: when creating a ticket type under Publish updates → Events, give it a capacity and tick Offer a waitlist when this type sells out.
- Membership types: under Members & access → Membership types, set a Member cap and tick Offer a waitlist when full. The cap counts current financial members holding the type — existing members always keep their renew button.
What members see
- When the ticket type sells out (or the membership fills), the public page swaps the buy button for Join the waitlist — name and email, no payment.
- When a spot opens, the offer engine emails the front of the queue: spots are first come, first served, and the offer lapses after 48 hours.
- When they buy, their entry converts automatically. Signed-in members can also see and leave their queues from their account page.
Manage the queue
- Open Revenue → Waitlists. The table lists queues in order — oldest first.
- Use Remove on an entry that shouldn't be there (duplicate, spam, no longer wanted).
- Freed up spots (bigger venue, extra capacity, a refund)? Press Check for open spots now to send offers straight away instead of waiting for the next sweep.
Field reference

Tips & FAQ
- Do offers hold the spot? No — offers are honest invitations, not reservations. If someone else buys the last spot first, the offer note says so, and the queue keeps moving. This keeps sold-out logic simple and fair.
- Why does the front of the queue block a smaller request? Offers go out strictly first come, first served. If the first entry wants 4 tickets and only 2 are open, nobody jumps them — the spots wait for more to free up.
- A refund didn't trigger offers? Refunds free capacity on the next sweep (within 15 minutes). Use Check for open spots now to hurry it along.
- Can someone join twice? No — one live entry per email address per waitlist. Joining again just shows their existing spot.
- Who gets notified? Signed-in members get an in-app notification and email; guests get the email only.
