Digital waivers

Hold your club’s own documents as versioned waivers — liability waivers, media and photo consent, codes of conduct — written in plain text that reads properly on a phone, because people accept what they can actually read.

Attach a waiver to the registration forms and membership types that need it, and from then on those checkouts show the waiver with a required tick-box and a typed-name signature field — that’s the whole online waiver signing flow, right where people already are. Guardians accept once and it’s recorded against every person on the registration — each dependant by name.

Waivers are versioned: update the wording and it publishes a new version (v2, v3, …) — new acceptances record against the new version, while old acceptances keep pointing at the exact text each member agreed to. And once anyone has accepted a waiver, it can only ever be archived, never deleted, so every version stays resolvable forever.

Acceptance is a typed-name record with a timestamp — who typed what name, for whom, against which version, when — kept permanently, because a waiver only earns its keep if you can produce it years later.
