Four o'clock on the Saturday of the new-moon weekend. Eleven people have packed the car, two have taken the day off, one has driven three hours already, and the satellite picture shows high cloud thickening from the west with a forty per cent chance of clearing after ten. Somebody has to make the call, tell everyone, and be wrong in public either way.
Every astronomical society is organised around that moment. Other clubs pick a night and the night happens. Build the year from that. A common and durable pattern is one indoor meeting a month on a fixed date, one members' dark-sky night on the new-moon weekend, one public night near first quarter, and an open list of impromptu nights called at short notice when the forecast is unexpectedly good. Publish the whole year at once, with the moon phases and the backup dates already on it, and your members can book leave around it.
A go/no-go protocol, written down
Half the frustration in an astronomy club comes from the cancellation, not the cloud. Agree the protocol once and follow it every time:
- A named decider. One person per event, with a named backup. Not a committee discussion in a group chat at 4pm.
- A fixed decision time. Four hours before the meet is about right for a local site, six for a long drive.
- One place the decision is published, always the same place — an event page on the club site that everybody can check without asking. Push it out as a notification at the same moment.
- A stated backup date on every dark-sky night, published in advance.
- A "we go anyway" rule for club sites within a short drive. Half a night through gaps is still a night, and members who drove out for a coffee and a chat under a broken deck tend to stay members.
Take RSVPs so the decider knows who is coming and who needs telling. It matters most for the events where somebody is unlocking a gate.
Dark-sky sites and access agreements
A dark-sky site is a club's most valuable asset and the one most likely to be lost quietly — a new shed light, a change of farm ownership, a locked gate and a phone number that no longer works.
Choosing a site
Score candidate sites against these, in roughly this order of importance:
- Horizon quality. How much sky do you actually get? Trees and hills eat the low south and low north, which is where a lot of the interesting objects sit at particular times of year.
- Light domes. Where are the towns, and how far up the sky do they glow? A site that is genuinely dark overhead but has a dome on one whole side may still be excellent for half the year.
- Drive time. Beyond about ninety minutes, attendance collapses on a work night and the drive home becomes the real safety issue.
- Ground and access. Firm, level ground you can drive onto without dust or mud, a gate that one person can manage, and vehicle turning space that does not require a three-point turn with headlights across everyone's dark adaptation.
- Facilities. A toilet changes who will come, particularly for families and for anyone staying past midnight.
- Mobile coverage. For weather updates and, more importantly, for emergencies.
- Security and neighbours. Who else uses the site after dark, and does anyone nearby need warning that there will be cars arriving at nine?

Put the access arrangement in writing
Even with the friendliest landowner, a one-page agreement protects both sides and survives a handover. Cover:
- Who the agreement is between, and a named contact each way with a mobile number.
- Which nights or how much notice is required, and how the club notifies of a visit.
- Gate protocol — who unlocks, who locks, and what happens if the last car leaves at 2am.
- Vehicle routes, parking area and a no-headlights-after-dark rule.
- Fire, stock and biosecurity rules, including whether anything can be lit and whether boots need cleaning.
- Insurance — confirm your public liability cover extends to the site and provide a certificate.
- What the club gives back. An annual observing night for the landowner's family and neighbours costs nothing and buys a decade of goodwill.
- Notice period on either side, and what happens to any club structure on the site if it ends.
Review it every couple of years, and re-establish contact whenever the property changes hands. Clubs lose sites to silence far more often than to conflict.

The red-light rule, and the etiquette card
Dark adaptation takes twenty to thirty minutes to build and one careless torch to destroy. Print this on a card and hand it to every arrival, member and visitor alike:
Observing etiquette. Red light only after dusk — no white torches, no phone screens without a red filter. Park facing out and switch off your interior light before you open a door. Announce yourself before you approach a telescope in the dark. Ask before touching any equipment that is not yours. Do not walk between a telescope and the sky. Keep voices low, and keep children within arm's reach. If you need to leave early, tell the coordinator so we can guide you out safely.
Roles for the night
Small clubs collapse these into two people, and that is fine — but name them.

For an overnight or weekend star party, add camping logistics, catering, toilets, a registration list with vehicle registrations, a fire plan and a wet-weather decision point. Write a risk assessment once and reuse it. Night, cold, uneven ground, vehicles, extension leads, and people who have been awake for twenty hours make a genuinely hazardous combination. Loan telescopes and equipment training

Loan rules that keep the kit
- Current members only, and a stated minimum membership period before the first loan.
- An induction before the first loan of any item, delivered by the equipment officer, covering setup, use, transport and pack-down.
- A fixed loan period — one lunation is a natural unit, and it gives the borrower a genuine chance at clear skies.
- A condition record signed at both ends, with photographs. Do this and disputes disappear.
- A stated expectation about damage, and the good sense to waive it once for an honest member.
- A queue that is visible to everyone, so nobody thinks the good scope lives permanently with the president's nephew.
- Never lend solar equipment to anyone who has not completed the solar induction, and never lend it at all to an unsupervised minor.
On solar observing, be uncompromising. Only front-mounted, purpose-made filters or dedicated solar instruments, checked for pinholes before every session. Screw-in eyepiece solar filters have no place in a club's kit and should be destroyed rather than stored. An adult stays with any solar telescope at all times while it is set up, and it is capped or packed away the instant it is unattended. Write this into your equipment policy in plain language and repeat it at every outreach briefing.
Keep the register properly — item, serial number, purchase date and value, condition, accessories, who has it and when it is due back. A training pathway, not a one-off
Turn the equipment into skills with a published ladder. A workable one:
- Find your way around. Naked-eye constellations, using a planisphere, what "magnitude" means, why the sky moves.
- Binocular tour. Ten objects anyone can find from a suburban backyard.
- Dobsonian induction. Setup, finder alignment, star-hopping to five targets, pack-down.
- Collimation clinic. The skill that most improves the club's optics overnight.
- Imaging step one. Phone through the eyepiece, then a camera on a tripod for wide-field star trails.
- Tracked imaging. Polar alignment, exposure, stacking — the point at which a member needs the club's mount.
Run each as a short workshop tied to the appropriate moon phase, publish the dates a year ahead, and let members sign up online so you know how many pairs of hands you need on the night.
Public nights and school partnerships
Outreach is where astronomical societies recruit, and it is also where most of them leak. A hundred delighted people look at Saturn, and three weeks later the club has gained nobody, because nobody asked them to join while they were still standing in the queue.

Running a public night
Plan around the Moon at first quarter, not new moon. A crescent or half Moon through a telescope is the object that produces the audible reaction, and it is easy to keep in the eyepiece with a queue of forty people.
- One telescope per twenty-five expected visitors, minimum, plus binoculars for the queue.
- A greeter at the entrance with the etiquette card, and a marked walking route lit with red light.
- A sign beside every scope saying what it is pointed at, what you are looking at and how far away it is. It answers the question the operator is asked two hundred times.

Schools are the best long-term partnership an astronomy club can hold, and the relationship needs to be easy for the teacher. Offer a fixed menu rather than an open-ended "we can do anything": a solar session at lunchtime, an evening family observing night on the school oval, a classroom talk tied to whatever the curriculum covers, and a loan of binoculars for a term.
